General questions

Things every attendee tends to ask - support, the basics.

When is the registration fee due?

Invoices are generally payable within 14 days of the invoice date. If the event begins within this 14-day period, payment must be made before the start of the event. For registrations made on the day of the event, payment is due immediately. Access to the event is only granted once payment has been received in full.

Lectures, posters, and what to bring or upload.

I'm presenting on-site - what should I bring?

Check the presentation guidelines first, as they include information on slide format and timing. Upload your presentation via your user account well in advance. After uploading your slides, you can immediately check the layout as well as the playback of embedded videos and animations.

We will transfer the uploaded presentations to the presentation laptop at the venue. On site, presentations must be given using the venue equipment. The use of personal laptops is not possible.

How does the poster session work on-site?

Please print your poster in A0 portrait format and mount it on the poster wall assigned to your contribution on site. Physical posters will remain displayed throughout the entire event. Mounting materials will be provided at the venue.

Why upload my poster digitally at an on-site event?

All poster authors must also upload a digital version of their poster via the submission management system. The digital poster will be displayed on the event platform for all participants during and after the event, promoting networking and enabling additional features (such as voting for the poster award by all participants).

Session chairs

If you're chairing a session

Running a lecture room - equipment, timing, audience questions, and the little gotchas.

When should I arrive in the lecture hall?

Please be in the room during the break before your session and check in with our technical staff - they'll get you set up.

Will I get a tech briefing?

Yes. Our on-site tech team will walk you through the equipment during the break right before your session.

What equipment will I have at the chair desk?

A laptop or tablet and a microphone, in every lecture room.

Can I cut in via the microphone during a talk?

Yes - toggle the mic with the button on the unit itself. Your audio goes straight to the room.

Anything to watch for with audience questions?

Questioners must speak into the roving microphone our tech staff hand around - the audience may not be able to hear the question.

If a question is not asked into a microphone, session chairs should repeat the question into the microphone before the speaker answers it, so that every participants can also hear the question.

How do I avoid noise from my own setup?

If you have a mobile device with you, please switch it to airplane mode before the session to avoid interference with your microphone.

How are plenary speakers introduced?

A handout with CV and abstract is provided for each plenary speaker - use it for the introduction.

How do I keep the speaker on time?

Watch the clock and intervene as needed.
